About The Role
As Studio Signage Coordinator, you’ll manage all signage-related activities for new Pronto studio launches. You’ll collaborate with designers, construction teams, and internal admin staff who handle council approvals to ensure each studio is visually aligned, high-impact, and ready from day one. From bold external graphics to internal directional signage, you’ll ensure every element is delivered on-brand and on-time.
With strong coordination and clear communication, you’ll ensure each signage project stays on track—so studios open fully signed and launch-ready.
This role contributes to meeting our marketing team’s studio launch KPIs:
- 1,000+ pre-registrations
- 100+ launch party attendees
- 300+ founding members at launch
- 480 members within 6 months
You’ll thrive in this role if you’re highly organized, quick on your feet, proactive with communication, and have a natural ability to manage fast-paced, detail-heavy projects.
Your duties will include:
Project Management
- Coordinate signage needs across multiple concurrent studio openings
- Maintain a central signage tracker and rollout schedule
- Liaise with construction team to gather key site-specific details, including:
- Signage zones, dimensions, surfaces, site photos and layout-specific notes
- Toilet access (on-premises or external) to inform way-finding signage needs
- Collaborate with internal admin teams to provide signage plans with any landlord, council, or DA-related requirements
Briefing & Execution
- Review construction plans and site details to accurately scope signage requirements
- Assess sunlight exposure and street visibility to guide material selection and layout decisions
- Collaborate with designers to ensure all signage mockups align with brand guidelines and studio layout.
- Prepare and submit complete signage briefs to signage writers, including artwork, specs, and timelines
- Review and approve signage proofs and quotes—ensuring accuracy, cost-efficiency, and readiness for production
- Ensure briefs account for location-specific installation constraints and any approval dependencies
- Track all project elements to ensure timely delivery, including:
- Brief/artwork status
- Installer timelines and completion reports
- Use tools like Bitly to generate and manage QR codes for studio-specific signage
- Support the Operations team with ad hoc signage needs (e.g. updates, replacements, or upgrades at existing studios)
- Identify and implement workflow improvements to streamline briefing, approvals, and coordination
To secure an interview, you should possess the following:
- 2+ years’ experience in project management, operations, or signage coordination
- Exceptional organizational skills with meticulous attention to detail — Type A vibes: organized, responsive, and allergic to loose ends
- Proficiency with project management and collaboration tools (e.g. Salesforce, Teamwork, Notion, Box) and spreadsheet software (Excel or Google Sheets)
- Clear, effective written communication and strong interpersonal skills
- Proven ability to manage multiple projects, shifting priorities, and tight timelines
- Self-motivated, process-driven, and solutions-oriented
- Solid grasp of branding and visual design fundamentals, including technical understanding of design file formats (e.g. vector files, bleed, resolution, scale)
- Comfortable working independently and coordinating across remote teams
- Forward-thinking mindset with a willingness to explore AI tools to drive marketing operations efficiency
- Availability to work across Australian and U.S. time zones to coordinate with team members and signage vendors
Bonus If You Have:
- Background in construction, retail rollout, studio fit-outs, or brand implementation
- Familiarity with signage formats, materials, dimensions, and installation methods
