About The Role

pronto event with door sign We’re seeking an organized and proactive Project Coordinator to support our Marketing Leader in driving impactful pre-launch campaigns and supporting various marketing initiatives in a fast-growing start-up environment.

As Project Coordinator – Marketing Support, you will be responsible for coordinating essential tasks across studio launches, managing project timelines, and streamlining scalable processes for merchandise, inventory, and reporting.

Being detail-oriented, highly collaborative, and comfortable with a range of digital tools, you’ll ensure all pre- and post-launch activities run smoothly, setting the foundation for efficient growth as we scale.

Your duties will include:

  • Campaign Project Management:
    • Coordinate and manage pre-launch tasks for new studio openings, ensuring all deadlines and milestones are met.
    • Develop project plans, track progress, and communicate updates with relevant team members in digital, social, operations and design teams.
    • Oversee all logistics for studio signage installation, merchandise and launch party needs, from sourcing to ordering.
  • Standard Operating Procedures (SOP) Documentation:
    • Document SOPs for pre-launch and post-launch campaigns, ensuring consistent and repeatable processes.
    • Regularly review and update SOPs to reflect any changes in workflow or best practices.
  • Administrative Support:
    • Manage the project calendar, ensuring all key dates, deadlines, and deliverables are clearly communicated and tracked.
    • Assist the Marketing Leader with various administrative tasks, including scheduling, deadline tracking, filing marketing assets and time management.
  • Inventory and Merchandise Management:
    • Coordinate the sourcing, ordering, and recording of stock inventory for branded uniforms and other merchandise items in collaboration with our Studio Operations team.
    • Maintain accurate inventory records and collaborate with team members to ensure timely replenishment of stock.
  • Data Management and Reporting:
    • Update weekly data sheets, including studio performance metrics and campaign KPIs.
    • Gather necessary data from team members to ensure accurate reporting and analysis.
    • Prepare a weekly report for the Marketing Leader on project status, potential roadblocks, and opportunities to enhance efficiency.
  • Cross-functional Collaboration:
    • Work closely with various team members to gather data, initiate tasks, and manage deadlines for project-related activities.
    • Facilitate clear and consistent communication to ensure all project requirements are met.
  • Financial Administration:
    • Manage invoices related to marketing and project expenses, ensuring timely approval and processing.
    • Submit and track monthly expenses, maintaining accurate records to support budget management and reporting.
    • Work closely with the finance team to resolve any billing or invoicing issues, ensuring alignment with budgetary goals and timelines.

To secure an interview, you should possess the following:

  • Proficiency in Slack, Notion, and Google Sheets for efficient project tracking and communication.
  • Strong organizational skills with an ability to multitask and manage priorities effectively.
  • Excellent written and verbal communication skills.
  • Must be available to work within Australian & US time zones to communicate with suppliers and support team coordination and deadlines.

Desired Experience:

  • Familiarity with Salesforce, Google My Business, Google Analytics and Event Management platforms such as Eventbrite.
  • Previous experience in marketing support or project coordination is a plus.
  • Ability to adapt to changing priorities and thrive in a fast-paced environment.
