About The Role
As the Construction Administrator, you will oversee the administrative functions for short-term construction projects, ensuring strict adherence to company policies and compliance with legal and regulatory requirements. You will support projects by coordinating external tradespeople to meet project timelines, communicate with both internal and external stakeholders, source estimates, procure supplies, and manage general administrative tasks as needed. This position may involve working closely with an internal project manager or a point of contact, depending on the project.
This role reports to the Construction Leader, and includes, but is not limited to, the following:
- Maintain a detailed database of all active contracts, tracking all project-related documents including contracts, permits, schedules, change orders, and financial records.
- Assist in drafting, reviewing, and managing contracts, subcontracts, and purchase orders to ensure compliance with project requirements and company policies.
- Serve as the primary liaison between managers, contractors, architects, and other stakeholders, ensuring clear communication and the smooth flow of information.
- Monitor construction schedules and project timelines, tracking progress and identifying potential delays. Provide regular updates to the manager and stakeholders.
- Assist in tracking project expenses, ensuring that budgets are adhered to, and alert managers of any discrepancies or potential cost overruns.
- Manage the documentation and approval process for any project modifications or change orders, ensuring timely communication and updates.
- Coordinate with vendors, subcontractors, and suppliers to ensure materials and services are delivered on time and meet project specifications.
- Prepare regular reports on project status, including cost tracking, schedule adherence and any potential issues or risks.
- Identify potential risks or challenges in project execution and work with the project team to develop mitigation strategies.
- Develop and implement process improvements, ensuring greater efficiency and accuracy.
- General administration tasks and ad hoc reports as required.
To secure an interview, you should possess the following:
- Minimum of 3 years of verifiable administration experience
- Excellent attention to detail and organizational skills
- Outstanding verbal and written communication skills
- Technical aptitude and process driven
- Ability to build and maintain strong relationships with internal and external stakeholders
- Great problem-solving skills
- Able to work under pressure and meet deadlines while managing multiple tasks
- Advanced skills in Microsoft Office (Word, Excel, PowerPoint)
- Good negotiation skills with the ability to manage multiple contracts and priorities
- Ability to work independently and collaboratively
Highly desired skills:
- Experience in the construction industry is preferred
- Ability to read construction drawings is desirable but not essential
This is a full time position. You’ll work remotely from the comfort of your home with occasional business travel.
